F2 functions

The following sections describe a number of F2 functions which are used in cases generated with F2 Service Builder.

Document template - find external ID

You will find the document template’s external ID in the template’s properties in F2.

Click on Document templates on the ”Settings” tab. Locate the relevant document template and right-click on it. Select Properties. The ”Document properties” dialogue opens, where you will find the ”External ID” field. If the field is empty, you can enter an external ID. Copy the external ID to the ”Template (External ID)” cell in the design template.

The document template ID must only consist of letters, integers, and underscore ("_"). It must not contain spaces, æ, ø, å, or other special characters.

Separation of duties

To quality assure case processing in F2 and to ensure integrity in decisions, you can implement separation of duties for tasks in the case guide. This means that one user can make a decision in a case, but another user must review and approve the decision - in other words, the four-eyes principle.

If you implement separation of duties for a task in the design template, you must also implement it for at least one other task. This means that you should select ”x” in at least two cells to the right of the ”Separation of duties for yes/no field” cell.

Example of separation of duties

In the example below, user A (a caseworker) makes a decision based on their case processing and the relevant administrative basis. In the next task, user B (a manager) reviews the case processing and decides whether the decision complies with the administrative basis.

When user A has made a decision in the first task, the decision outcome, user A’s name, and date of the decision are logged in the case history.

The second task, the review task, is locked for user A once they have made their decision. Subsequently, user B conducts their review of the case processing and the original decision. User B’s review decision is also logged in the case history along with user B’s name and date of the decision.

As long as the review task is not completed, user A, who must make a decision, can reverse their decision. Once the review task is completed by user B, user A can no longer reverse the decision.

Action code - find external ID

You can choose an action code to be associated with the case that is automatically created when a self-service inquiry is received. You can find the external ID for the action code in the ”Value list administration” dialogue in F2, and enter it in the ”Action code (External ID)” cell in the design template.

Click on Value list administration on the ”Administrator” tab. In the drop-down menu in the dialogue, select ”Action codes”. Right-click on the desired action code and click on Properties in the context menu.

The ”Properties for [Name of action code]” dialogue opens. Here you will find the ”External ID” that you should include in the design template.

File plan code - find external ID

You can choose a file plan code to be associated with the case that is automatically created when a self-service inquiry is received. You can find the external ID for the file plan code in the ”Value list administration” dialogue in F2, and enter it in the ”File plan code (External ID)” cell in the design template.

Click on Value list administration on the ”Administrator” tab. In the drop-down menu in the dialogue, select ”File plans”. Right-click on the desired file plan and click on Properties in the context menu.

In the ”Administration of the properties for file plan code” dialogue you will find the ”External ID” that you should include in the design template.

Disposal code - find external ID

You can choose a disposal code to be associated with the case that is automatically created when a self-service inquiry is received. You can find the external ID for the disposal code in the ”Value list administration” dialogue in F2, and enter it in the ”Disposal code (External ID)” cell in the design template.

Click on Value list administration on the ”Administrator” tab. In the drop-down menu in the dialogue, select ”Disposal codes”. Right-click on the desired disposal code and click on Properties in the context menu.

In the ”Properties for [Name of disposal code]” dialogue you will find the ”External ID” that you should include in the design template.

Cases created with case guides generated by F2 Service Builder automatically receive a navigation record. This applies to cases created both manually in F2 as well as cases generated automatically via a self-service inquiry.

The navigation record is assigned the keyword ”Control record”. This keyword must therefore be created in F2 before the design template is uploaded.

The control record shows when a caseworker has completed a task in the case guide. Double-click on the control record in the main or case window to open the case guide at the current task.

You can create and save searches based on control records, making it easy for a caseworker to continue working on relevant tasks.

Progress codes

Progress codes are used to provide an overview of the status of a case. The progress code automatically changes as the case moves from one phase to the next. A progress code is displayed in the ”Progress code” metadata field in the case window, and in the ”Progress code” column when viewing cases in a result list.

In the design template, you can fill in progress codes in the ”Progress code” cell.

Progress codes also influence the placement of a case in a management dashboard.

You can perform an advanced search on progress codes and thereby find cases with a specific progress code. Progress codes can also be used for management reporting, as they provide an overview of processing times, and how long each task in the case takes. Deadlines can also be attached to the individual progress codes. Read more about progress codes under "Cases".
