Case records

The content of this website is last updated to F2 version 11. cBrain are working hard on supplying you with the newest documentation of F2.

You can see a case’s records in the result list in the case window. Use the the field above the result list to filter it. Right-click a record to open a context menu similar to the one in the main window. The case window also offers a preview of the case’s records and their attached documents.

Set up the result list

You can change the layout of the result list and choose which columns you want to include.

Add or remove columns by right-clicking a column title and selecting the Columns menu item. The "Select columns" window opens. From here you can add columns to the list. You can search for columns you wish to add using the window’s search field.

Changes to the column layout in the case window will be applied to all your cases.

Filter the result list

You can filter the result list by typing text in the field above it. Filtering is useful for cases with many records.

Enter a word or text string to filter by. F2 automatically starts filtering the list when you type something in the field.

The context menu for records in the case window

The context menu for records in the case window is identical to the one in the main window. This makes it possible to carry out various tasks on a single record or as a mass operation. For example, the case attachment of one or more records can be changed using Add record to case or completely removed with Remove record from case.

The options in the context menu depend on the available add-on modules.

Preview of case records and documents

As in the main window, a preview (1) of the records and documents of a case can be displayed in the case window.

Choose where to display the case record preview via the case window ribbon (2).

Click the drop-down menu next to Preview. Here you can choose between Right alignment, Bottom alignment, or Hidden.

From the preview, you can access a range of features on the case records and documents.

From here you can:

  • Preview either the record, its participants, or its approvals or requests (1).

  • View and open the record’s chats, notes, and annotations (2).

  • View and open the record’s attached documents (3).

Approvals can be processed from the preview directly.

Right-click functions for documents in the preview

Right-clicking a document in the preview lets the user perform any of the functions below.

Icon Function Description

Pdf_48x48

Show PDF

Opens the selected document as a PDF file.

Open

Opens the selected document in the format chosen during setup. The icon changes depending on the file format, e.g. PDF or Word.

Export file…

Saves the document to the user’s computer.

A configuration makes it possible to simplify export of document copies. Once enabled, the configuration allows you to export copies of documents by drag and drop from F2 to a relevant location on your computer, e.g. in Outlook. Configurations are made in cooperation with cBrain.

Properties

Opens the “Properties” dialogue that shows the document’s properties.

Copy link to document

Copies a link to the record to which the document is attached. Clicking the link will open the record with the document shown in the record window preview.

This link can be pasted into other records, case metadata or notes, chats, annotations, etc. Read more about linking to documents.

Show properties for participants in the preview

It is possible to go directly to properties for participants and distribution lists from the main window’s preview. Right-click on a participant or list and then click on Show properties.

Show distribution list content in the preview

It is possible to view the current content of a distribution list directly from the main window’s preview. Right-click on a distribution list in the “Recipient” field in the preview and then click on Show content.

A dialogue opens to show the content of the distribution list. See the figure below.

The dialogue shows the content of the distribution list at the time when it was opened. Later changes made to the distribution list are not displayed. It may be necessary to close the dialogue and reopen it to e.g. see newly added users.
