The main window preview

The content of this website is last updated to F2 version 11. cBrain are working hard on supplying you with the newest documentation of F2.

With the main window preview visible, it is possible to see the content of records and documents that you select in the result list. The preview can be hidden or displayed either next to or below the result list. You can adjust the preview alignment on the main window’s “Settings” tab.

The following sections introduce the various functions available in the preview such as those in the document context menu, previewing participant properties and distribution list contents, and printing documents via the preview.

Preview functions

The preview contains a number of functions to facilitate work with records and documents.

From here you can:

  • Preview either the record, its participants, or its approvals or requests (1).

  • View and open the record’s chats, notes, and annotations (2).

  • View and open the record’s attached documents (3).

Approvals can be processed from the preview directly.

The following sections provide an overview of the main window’s additional preview functions.

Right-click functions for documents in the preview

Right-clicking a document in the preview lets the user perform any of the functions below.

Icon Function Description

Pdf_48x48

Show PDF

Opens the selected document as a PDF file.

Open

Opens the selected document in the format chosen during setup. The icon changes depending on the file format, e.g. PDF or Word.

Export file…

Saves the document to the user’s computer.

A configuration makes it possible to simplify export of document copies. Once enabled, the configuration allows you to export copies of documents by drag and drop from F2 to a relevant location on your computer, e.g. in Outlook. Configurations are made in cooperation with cBrain.

Properties

Opens the “Properties” dialogue that shows the document’s properties.

Copy link to document

Copies a link to the record to which the document is attached. Clicking the link will open the record with the document shown in the record window preview.

This link can be pasted into other records, case metadata or notes, chats, annotations, etc. Read more about linking to documents.

Show properties for participants in the preview

It is possible to go directly to properties for participants and distribution lists from the main window’s preview. Right-click on a participant or list and then click on Show properties.

Show distribution list content in the preview

It is possible to view the current content of a distribution list directly from the main window’s preview. Right-click on a distribution list in the “Recipient” field in the preview and then click on Show content.

A dialogue opens to show the content of the distribution list. See the figure below.

The dialogue shows the content of the distribution list at the time when it was opened. Later changes made to the distribution list are not displayed. It may be necessary to close the dialogue and reopen it to e.g. see newly added users.

It is possible to print the record document or attached documents from the main window preview.

To print the record document, select the relevant record in the result list. Then click on Print in the main window ribbon. F2 then generates a PDF file of the record document for printing. The content of the PDF file is determined by a template that can be configured in cooperation with cBrain.

To print an attached document, select the record in the result list. In the record’s preview, click on the document to be printed and then on the drop-down arrow on the Print menu item in the main window ribbon.

Click on Print attachment in the drop-down menu to print the selected document.

Attached documents can only be printed individually, which means you must click on and print one attached document at a time. Altenatively, you can print all attached documents using the Create record PDF menu item. This menu item is found in the "Other" menu group, which is described in Records.

If the main window preview is disabled, documents can still be printed by viewing the result list as documents. In this view the record document cannot be printed.
