View case metadata
A case can be displayed in one of the following ways:
The case views are described in the following sections.
Simple case view
The case opens in the simple case view unless you have chosen otherwise in your personal setup. Simple case view means that a section of the case metadata is collapsed.
A case is tagged by adding metadata. The table below describes the metadata fields of the simple case view.

“Title” |
Denotes the title of the case. |
“Responsible” |
Denotes the user or unit responsible for the case. The user/unit who is responsible for the case can edit the case metadata. |
“Status” |
Indicates whether the case is in progress or completed. |
Extended case view
Open the extended case view by clicking Show more fields. The shortcut Ctrl+L can also be used to either expand or collapse the extended case view.
The extended case view’s fields and their functions are described below.

“Suppl. case mgr.” |
Here users, units, or teams can be added to the case as supplementary case managers. A supplementary case manager is given access to the case and to edit its metadata. This access cannot be changed as opposed to the access rights of users who are added as supplementary case managers on a record. Read more about supplementary case managers. Users, units, or teams do not automatically receive a notification when they are added as supplementary case managers to a case. |

“Limited access” |
Allows the case manager to limit access to the case and its records. Only the security groups, users, units, or teams added to this field will be able to access the case and its records. The limited access is inherited by the records on the case by default. Read more about record access. |

“Deadline” |
Determines when the case must be completed. |

“File plan” |
Specifies the file plan to which the case is linked.

“Keywords” |
Used for tagging the case. Typically this field is used to organise cases, so they are easier to find via a search. |

“Case participants” |
Specifies the participants related to the case. |
||
“SSN/CVR No” |
Indicates whether the case concerns a single person (SSN) or a company (CVR). |

“Action code” |
Indicates the action code to which the case is linked.

“Previous case No” |
Indicates that a case is a further processing of a previous case. |

“External ID” |
Used for additional identification of the case. One example of this could be a student ID. |

“Progress code” |
If a progress code has been added to the case, the current progress code is specified here. The case deadline will change when the progress code changes. This ensures that deadlines for smaller case tasks are complied with. Read more about progress codes. |

“External access” |
This field is only used for tagging the case in connection with customer-specific integrations. The values are taken from a value list and must be configured in cooperation with cBrain. |

“Disposal code” |
Specifies if and when a case must be disposed of after a certain period of time.

Write access to case metadata
You can edit the metadata of a case if you have write access to the case. You have write access if you are responsible on the case or a supplementary case manager.
Your write access is independent of the role you are logged in with. If you have multiple job roles, you don’t need to log into the unit that is responsible for a given case. You will automatically have access through your job roles.
Case access limitations
You can find and open a case if you have read access to at least one of its records. You can add records to a case unless access to it has been limited. If you attempt to open a case to which you don’t have access, F2 shows a dialogue called "You do not have access to the object".
Limit access to a case
You can limit access to a case and its records so it can only be accessed by specific users or groups of users. To do this, add one or more security groups, users, units, or teams to the "Limited access" field. Only users or groups added to the field will be able to access the case.
Records are affected by the case access limitation
By default, records inherit any access limitation set on the case.
In the record window, you can see who has access to the case in the "Case access restricted to" field. Tick or untick the "Case access" checkbox to decide whether the open record should inherit the case’s access limitation. F2 can be configured to tick this checkbox by default.
Click the question mark icon next to the “Case access” checkbox to show a tooltip with pertinent information about access to the record.
